Approved Vendors Terms & Conditions

Welcome to the 2024 Ice Cycle Expo presented by 4Front Credit Union!
Please read all information carefully before selecting your booth space, and completing the payment & final forms.

Terms of Participation

In order to guarantee your Expo Booth approval, vendor must provide the following information:
  1. Non - refundable payment for your space fee (Click on the "NEXT" button at the end of the this page)
  2. Representatives to manage booth during the duration of the event
  3. Completed Vendor Agreement
  4. Agreement to vendor details
  5. Copy of Insurance Certificate naming The Festival Foundation dba Iceman Cometh Challenge as additional insured

2024 Expo Dates

The 2024 Ice Cycle Expo will be held on November 1 from 11 am to 8 pm.


2024 Expo Vendor Schedule

Thursday, October 31, 2024

7:00 PM to 12:00 MN - Vendor Set Up

Friday, November 1, 2024

7:00 AM to 10:00 AM - Late Set-Up

10:30 AM - Fire Department Inspection ***All vendors must be set up and ready to go!***

11:00 AM to 8:00 PM - Show opens to the public

8:00 PM to 10:00 PM - Teardown

Equipment, product and displays may be sent ahead of time to the Grand Traverse Resort at the following address:

Iceman Deliverables

Iceman Cometh Challenge will provide the following:
  1. Pipe & drape from Artcraft to define each Expo space at Grand Traverse Resort & Spa.
  2. Electrical outlets for each Expo space at Grand Traverse Resort & Spa.
  3. Eight foot banquet tables & chairs will be provided upon request (make selections on form).
  4. Secured WiFi internet connection will be provided

Space Assignment

You will choose your Booth Space in the next screen.

NFPA 701

Fire code requires the NFPA 701 rating for interior use of any canopy. All pop-up tents used must therefore meet NFPA 701 ratings. Each canopy must have this rating attached to it . Canopies not meeting this guideline will be taken down so we can open the show on time. Please submit your picture of the rating tag if you wish to use a pop-up tent for your location. If you have not previously received approval of your tent’s indoor fire rating. (Look on the inside in one of the corners) All pop-up tents must be erected and ready for inspection by 9:00 am Friday. The Grand Traverse Metro Fire Department Fire Marshal will be walking thru the event on Friday morning at 9:00 am to make sure that we all comply.

Raffles

Raffles may be conducted with all proper documentation and approval from the Expo Director.

Payment/Cancellation Policy

Payment is due in full with receipt of application. Space is limited. Reserve early! There Are No Refunds!

Sales

Sales are permitted within Ice Cycle Expo spaces on Friday.

Exhibits

Spaces shall be so arranged as not to obstruct the general view nor hide the exhibits of others. There may be some height restrictions to the space you choose.

Subletting of Space

Vendor shall not assign, sublet, or apportion the whole, or any part of the space assigned, nor have representatives, equipment or materials from other firms than his own in the exhibit space without prior consent of Expo Director. All sampling of products must be conducted within your assigned Expo space unless prior arrangements have been made. Vendors roaming the venues without prior consent of management will be asked to leave.

Construction & Tear Down

Construction and Tear-down may not take place during event hours. Iceman reserves the right to restrict each exhibit to a maximum noise level and to suitable methods of operation and display materials.

Grand Traverse Resort & Spa Parking

All vendors and suppliers are required to park in the overflow lot by the water tower to the north of the Main Resort Parking Lot after they have unloaded Expo materials. Our great volunteer group will be helping transport materials to your space again this year! The driveway to Governors’ Hall is a Fire Lane so there is NO PARKING by the loading area. Please be considerate of this and our volunteer groups that are assisting with the Expo Set Up.

Insurance Requirements

For any company working in our permitted area, we will need to receive a copy of a certificate of insurance. Please use the guidelines below for assistance in meeting our requirements for certificates of insurance.

Products – Completed Operations Ag Limit $2,000,000
Bodily Injury & Property Damage $1,000,000 per occurrence
Fire Damage Limit $500,000
Personal & Advertising Injury Limit $1,000,000
Certificate Requirements
  • Name the following as certificate holder/additional insured: Festival Foundation d/b/a Iceman Cometh Challenge 521 S. Union Street, Traverse City, MI 49684.
  • Include statement; “Coverage afforded under this Policy will act as primary insurance to that of the certificate holder/additional insured.” • Insurance coverage should include a waiver of subrogation endorsement in favor of Iceman Cometh Challenge.
  • Also name as certificate holder/additional insured
  • Listed Insurance carriers must carry at least an A-7 rating
  • Certificate originals can be mailed to: Iceman Cometh Challenge, 521 S. Union Street, Traverse City, MI 49684

Agreement to Terms & Conditions

All vendors agree to the listed terms and condition. Any vendor that violates the terms & conditions may be removed at Iceman's discretion. In the event such an eviction or restriction is enforced, Iceman will not be liable for refunding rental fees or funds for exhibition equipment rental, except at its own discretion. Vendor agrees that Iceman may substitute the actual space assigned to exhibit if necessary.
